What are the Best Practices for Keeping your Database Organized? #
How to use Generic Groups best #
- Generic groups are best used where you need custom groups where other groups do not apply.
- Do not use a Generic group in place of one of the more specific groups. For example, if you are adding a Bible Study, use a Bible Study group, not a Generic group since a Bible Study Group has specialized structure and behavior that is lost when you use a Generic Group.
See Best Practice in Action #
Select the Parent of the Group you Wish to Add Before Adding Group. #
Select the parent group you want to add a group under. For example, if I want to add a Generic Group under Volunteers Involved, I must first select Volunteers Involved then click the Add Generic Group button.
See Best Practice in Action #
Add Groups from Last to First #
Whenever you have several groups to add at once, the last group added goes on top. If you want to see groups ordered going from first to last downwards, then add the groups in reverse order. For example, adding groups in the following order: Third group, Second Group, First Group will result in the groups displaying as:
- First Group
- Second Group
- Third Group
Place Records in the Most Specific Group #
- Where do you place records within a group?
- Place records in the most specific location
- Do not be redundant in placing records in a group

Best Practices for Naming Groups #
Group names are important because some of them have special meanings. Name groups well to get the most out of CrossReference.
- The following group names have special meanings
- Received Christ – if a group is named with this exact name then anyone in this group shows up in searches for people who’ve received Christ.
- Involved – if a group name ends with this word, then anyone in this group shows up in searches for people who are involved.
- Leaders – if a group has this word anywhere in in its name, then anyone in this group shows up in searches for Leaders.
